Syndicate Field App Privacy Policy
Syndicate Communications Pty Ltd (“Syndicate Communications”, “we”, “our” or “us”) respects the privacy of individuals who use the Syndicate Field App.
This policy explains how personal information is collected, held, used and disclosed through the app. The app is intended for authorised Syndicate Communications employees and approved users.
Information we may collect
Depending on the features you use, we may collect or process:
• Your name, employee number, staff ID, work region and employment details
• Account and authentication information required to provide access to the app
• Scheduled jobs, work orders, customer sites and work activities assigned to you
• Clock-on and clock-off times
• Timesheets, working hours, overtime, allowances and payroll-related information
• Location information when you use a function requiring location verification, such as clocking on or off
• Photographs, screenshots, signatures, documents, notes and other evidence you upload
• Vehicle inspections, safety audits, hazard reports and compliance declarations
• Uniform, PPE, support and workplace requests
• Notifications sent to you and technical identifiers required to deliver push notifications
• Questions submitted to Tech Assist and the responses provided
• Device, application, diagnostic and error information needed to operate, secure and troubleshoot the app
Please do not submit personal or sensitive information that is not reasonably required for the relevant workplace function.
Location information
The app may request access to your device location when a workplace function requires location verification.
Location information may be recorded when you clock on, clock off or use another location-dependent feature. The app is not intended to continuously track your location in the background.
You can control location permissions through your device settings. Disabling location access may prevent some app functions from operating correctly.
How information is collected
Information may be collected:
• Directly from you when you use or submit information through the app
• Automatically from your device when permitted by your settings
• From Syndicate Communications employment and operational records
• From authorised business systems, including job scheduling, payroll, compliance and customer-management systems
• From supervisors, administrators or other authorised personnel
How we use information
We may use information collected through the app to:
• Authenticate users and manage access
• Assign and display scheduled work
• Record attendance, working hours, timesheets and allowances
• Support payroll and employment administration
• Manage workplace health, safety and compliance obligations
• Conduct vehicle, site and operational audits
• Maintain job, customer-site and work records
• Send operational notices, reminders and safety communications
• Process uniform, PPE and workplace requests
• Provide technical and operational assistance through Tech Assist
• Investigate support requests, errors, incidents or suspected misuse
• Protect the security and integrity of the app and related systems
• Meet legal, regulatory, contractual and employment obligations
• Improve Syndicate Communications systems and business processes
We do not use information collected through the app for third-party advertising or sell personal information.
Tech Assist and automated processing
Tech Assist uses approved search and artificial-intelligence services to respond to workplace questions.
When you use Tech Assist, your question and relevant authorised business information may be processed by approved technology providers to generate a response. Users should not enter unnecessary personal, confidential or sensitive information into Tech Assist.
Tech Assist provides operational assistance only. Important safety, compliance, employment or payroll decisions should be confirmed with an authorised supervisor or appropriate Syndicate Communications representative.
Disclosure of information
Information may be disclosed to:
• Authorised Syndicate Communications employees, supervisors and administrators
• Payroll, finance, human resources, safety and compliance personnel
• Customers or principal contractors where required to perform or verify contracted work
• Technology and cloud-service providers that host, maintain or support the app
• Business-system providers used for scheduling, payroll, communications, document storage and operational management
• Professional advisers, insurers, auditors or regulators where reasonably required
• Law-enforcement agencies, courts or government authorities where required or authorised by law
Service providers are permitted to access information only where reasonably necessary to provide their services or satisfy applicable legal obligations.
Overseas processing
Some technology providers may process or store information in Australia or in other countries in which they operate. These countries may include New Zealand and the United States.
Where personal information is handled outside Australia, we take reasonable steps appropriate to the circumstances to ensure it is handled securely and consistently with applicable privacy requirements.
Storage and security
Information may be stored in Syndicate Communications systems and approved cloud services.
We use reasonable administrative, technical and physical safeguards designed to protect information from loss, misuse, interference, unauthorised access, alteration or disclosure. These safeguards include access controls, authentication, secure communications, system monitoring and restrictions based on business responsibilities.
No electronic system can be guaranteed to be completely secure. Users must protect their account credentials and immediately report suspected unauthorised access.
Retention
Information is retained for as long as reasonably required for employment, payroll, safety, compliance, contractual, operational, support and legal purposes.
When information is no longer required, it may be securely deleted, destroyed or de-identified in accordance with applicable legal requirements and Syndicate Communications record-retention practices.
Access and correction
You may request access to personal information held about you or ask for inaccurate information to be corrected.

Privacy complaints

Data breaches
If a data incident occurs, Syndicate Communications will assess and respond to it in accordance with applicable legal requirements, including notification requirements that may apply to eligible data breaches.
Changes to this policy
We may update this policy when the app, our information-handling practices or applicable requirements change.
The current version will be published on the Syndicate Communications website. The effective date at the top of the policy identifies when it was last updated.
